Bookings
The Bookings module allows you to record confirmed space reservations with carriers before a shipment (job) is created. A booking holds details such as origin, destination, carrier, ETD/ETA, and container/flight allocations. Once the booking is finalised, it can be converted into a shipment/job, which operations and finance teams then manage.
Booking Status Flow
Bookings move through a simple but structured flow:
Draft When a booking is first created, it is in Draft. All fields are editable at this stage. Example: a new Ocean Export booking created before carrier confirmation.
Confirmed Once carrier space is secured, the operator updates the status to Confirmed. This signals that booking details are final and ready for conversion.
Converted After a booking is converted into a shipment/job, the status updates to Converted. The booking record remains linked to the shipment for reference, but further operational work happens in the Job module.
Cancelled If the booking is withdrawn or cancelled before conversion, set the status to Cancelled to close it out while retaining an audit trail.
How to create a Booking

Create & Save New Booking
In the main navigation, go to Bookings → All Bookings.
Click + New Booking or click the [+] button in the left sidebar inside the Bookings menu.
Fill in the Basic Information:
Booking No. – system-generated, can be customised per your numbering series.
Customer – select the customer making the booking.
Mode – choose Ocean, Air, or Land.
Direction – select Import or Export.
Service Type – e.g. FCL, LCL, Express Air, etc.
Origin Port / Airport – location where cargo is loaded.
Destination Port / Airport – discharge location.
ETD / ETA – estimated departure and arrival dates.
Carrier / Airline / Co-loader – select the carrier or partner.
Salesperson – the sales rep responsible for this booking.
Add Cargo and Container Details:
Enter container type and count (for ocean).
Enter weight, volume, and number of pieces.
Add commodity description if required.
Optional: Attach supporting documents (customer booking form, carrier confirmation).
Click Save. The booking will appear in your bookings list with status Draft. Once confirmed with the carrier, update the status to Confirmed.
How to convert a Booking to a Shipment (Job)
Open the booking you want to convert.
On the top-right of the booking form, click Convert to Shipment / Job.
A dialog will appear with options:
New Shipment – creates a new job with details copied from the booking.
Link to Existing Shipment – attaches the booking to an already created job.
If creating a new shipment:
Select the job type (Air Import, Air Export, Ocean Import, Ocean Export, or Generic).
Confirm which details to carry over (customer, routing, container info, ETD/ETA).
Click Convert.
The system will create the shipment and redirect you to the Job Details page. The job will start in Draft status, where operators can complete routing, documents, and charges.
The booking remains linked to the shipment for reference.
If linking to existing Shipment:
Convert Booking to New Shipment

Start from Booking Details page.
Ensure the “Attach Booking to” field is empty.
Click “Option (Three Dots)”, then choose “Convert to Shipment”.
Confirm dialog will be appear to confirm that the new shipment will be created include with the MBL and HBL based on the booking.
Click “Convert to Shipment”.
Success message will be appear in top-right section with the “Job No.” info.
Click on “Job No.” to open the shipment in new tab.
Convert/Link Booking to Existing Shipment

Start from Booking Details page.
Fill in the “Attach Booking to” field, select MBL or HBL in the left-side and select the MBL/HBL number in the right-side.
if select MBL, when convert to shipment will create a new HBL with in the same job with selected MBL.
if select HBL, the booking will auto-linked to the selected HBL.
Pop-up dialog will appear to import data from selected MBL/HBL.
Select data want to import from the MBL/HBL to booking.
Click “Import”.
Then data will be auto-populated from MBL/HBL.
Click “Option (Three Dots)”, then choose “Convert to Shipment”.
Confirm dialog will be appear to confirm that the HBL will be created based on this booking with in the linked job (selected MBL in “Attach Booking to”).
Click “Convert to Shipment”.
Success message will be appear in top-right section with the “Job No.” info.
Click on “Job No.” to open the shipment in new tab.
Multiple Convert Booking to New Shipment

Open the left-sidebar.
Click Bookings, then the system will show the Bookings List page.
Select the bookings you want to convert (allow to select multiple).
After select the bookings, the convert button will be appear on the top navbar.
Click “Convert to Job”.
Pop-up dialog will be appear, select “Convert to a New Job”.
Click “Next”.
Fill in the following fields:
MBL - Allow manual input or auto generate
Origin - Auto-populated based on bookings document
Destination - Auto-populated based on bookings document
ETD - Auto-populated based on bookings document
Vessel - Auto-populated based on bookings document (if filled)
Click “Convert”.
Confirm dialog will be appear to confirm that the new job will be created with the MBL and the selected bookings will be converted to individual HBLs.
Click “Confirm” to continue.
Success message will be appear in top-right section with the “Job No.” info.
Click on “Job No.” to open the shipment in new tab.
Multiple Convert/Link Booking to Existing Shipment

Select the bookings you want to convert (allow to select multiple).
After select the bookings, the convert button will be appear on the top navbar.
Click “Convert to Job”.
Pop-up dialog will be appear, select “Link to an Existing Job”.
Click “Next”.
The system will show the shipment list based, click to select a job.
Confirm dialog will be appear that the booking will be converted to the selected job and will create a new HBLs based on the selected bookings.
Click “Confirm” to continue.
Success message will be appear in top-right section with the “Job No.” info.
Click on “Job No.” to open the shipment in new tab.
