Charge Groups

A Charge Group in Fr8Labs is a predefined collection of charges that can be applied together to quotations, bookings, or jobs. Instead of manually adding common charges one by one (e.g. freight, documentation, terminal handling), users can apply a charge group to instantly populate all relevant line items.

This improves consistency across sales and operations, reduces manual entry errors, and ensures profit calculations are aligned.

Common Use Cases

  • Mode-specific charges: e.g. Standard Air Import charges.

  • Customer-specific charges: e.g. negotiated all-in package for a key customer.

  • Service-type charges: e.g. Customs clearance package (Customs Fee, Disbursement, Handling).

How to create a Charge Group

  1. Navigate to Sales → Charge Groups (depending on your company setup, this may also appear under Quotations & Jobsheets).

  2. Click + New Charge Group.

  3. Complete the Header Information:

    • Charge Group Name – descriptive label (e.g. “Ocean Export FCL”).

    • Branch – assign to a specific branch or leave blank for all.

    • Mode – select Air, Ocean, Land, Warehouse, or Customs.

    • Direction – Import, Export, or Domestic.

    • Service Type – e.g. FCL, LCL, Express, etc.

    • Currency – default billing currency.

  4. Add charges in the Charge Lines Table:

    • Charge Type – select whether it is a Sales charge (revenue), Cost charge (vendor expense), or both.

    • Charge Description – e.g. “Ocean Freight 20GP”, “Documentation Fee”.

    • Unit of Measure – e.g. Per Container, Per Shipment, Per KG, Per CBM.

    • Unit Quantity – default quantity (e.g. 1 for per shipment).

    • Selling Rate – default selling price.

    • Buying Rate – default cost (if available).

    • Remarks – optional notes (e.g. carrier-specific or validity dates).

  5. Click Save. The charge group is now available for use in quotations and jobs.

How to use a Charge Group

In a Quotation

  1. Open or create a quotation.

  2. In the Charges / Items section, click Load Charge Group.

  3. Select the appropriate charge group by name.

  4. The system will insert all charges from the group into the quotation.

Adjust quantities or rates if needed, then save.

In a Job (Shipment)

  1. Open a job record and go to the Job Estimation tab.

  2. Click Load Charge Group.

  3. Choose the charge group you want to apply.

  4. The charges will prefill into the estimation grid.

  5. Review and update values before confirming.

Best Practices

  • Keep charge group names descriptive (include mode, direction, and lane if possible).

  • Review and update rates regularly to ensure accuracy.

  • Use customer-specific charge groups for contracted clients, so sales teams don’t overwrite standard tariffs.
