Contacts
Contacts represent individual people you interact with — customers, agents, suppliers or partners. Maintaining accurate contact records ensures that everyone in your team has the right information when communicating, quoting or invoicing.
Open Contacts from the left navigation. The contact list shows key details and allows you to view, search, filter and edit contacts.

The list displays the following columns by default (you can add or remove columns using the Columns button):
First Name and Last Name – personal name of the contact.
Organisation Name – the company the contact works for. Contacts without an organisation are flagged so you can link them later.
Email Address – primary email used for communication.
Mobile Number – contact’s mobile phone (formatted with country code if needed).
Designation – job title or role within the organisation (e.g. Logistics Manager, Finance Executive).
Gender – may be used in some regions for formal correspondence; options typically include Male, Female, Prefer not to say.
Address – physical location (street, city, country).
Deals – number of deals linked to this contact (if any).
Last Modified – date and time the contact record was last updated.
Owner – user responsible for maintaining this contact.
You can sort by any column and apply filters, such as organisation, designation or owner, using the Filter button.

Creating a New Contact
To add a new contact:
Navigate to Contacts and click Create.
Fill in the fields in the form:
Salutation – select an option: Mr., Ms., Mrs., Dr., Prof., Mx., or Other.
First Name and Last Name – required.
Email Address – required for communication and sending quotations.
Mobile Number – recommended for quick contact.
Landline Number – optional.
Gender – choose from Male, Female, Non‑binary, Prefer not to say, or leave blank.
Organisation – select from the existing organisations list; if the organisation does not exist, you can create it on the fly or link later.
Designation – free text; examples include Procurement Manager, Operations Director, Finance Analyst.
Department – optional (e.g. Sales, Operations, Finance).
Address – full address including street, city, postal code and country (country drop‑down contains all ISO country names).
Contact Owner – assign responsibility to a specific user.
Click Save to create the record. The new contact will appear in the list and can be associated with deals or shipments.

Viewing and Editing a Contact
Click a contact’s name to open the detail page. From here you can:
Edit Personal Details – update name, contact info, designation or address by clicking Edit.
Change Ownership – assign the contact to a different team member if responsibilities change.
View Associated Deals – the Deals section lists all deals linked to this contact; click a deal to view or edit it.
View Associated Organisations – if a contact belongs to multiple organisations (e.g. acts as an agent), they will be shown here.
Add Notes – store meeting notes, special requirements or preferences.
Upload Attachments – save documents such as contracts, identification or communication records.
Record Activity – logs edits, emails sent and other actions for auditing and collaboration.

Linking Contacts to Organisations and Deals
To link a contact to an organisation: open the contact record, click Edit, and select the relevant organisation from the Organisation drop‑down. If the organisation doesn’t exist, you can create it via Organisations and then return to link the contact.

To link a contact to a deal: open the deal record and choose Associate Contact, then search for and select the contact. One deal can have multiple contacts and one contact can be linked to multiple deals.

Common User Questions and Answers
Can a contact have multiple email addresses? Generally each contact has one primary email. If you need secondary emails, include them in notes or a custom field defined by your system administrator.
What if the contact changes employers? Create a new contact record for the new organisation to retain historical data. Mark the old record as inactive or change its status to Left Company.
Is gender mandatory? Gender is an optional field in many regions. Only select it if you need it for formal greetings; otherwise leave it blank.
How do I bulk update contacts? Use the export function to download contact data, modify the spreadsheet and reimport it using the import tool. Take care not to change the unique contact identifiers.
