Sorting and Filtering Lists

Every list view in Fr8Labs CRM — such as Leads, Deals, Contacts, or Organisations — allows you to quickly locate records using sort and filter controls.

These tools help you focus on the data that matters most, whether you’re following up on hot leads, reviewing deals in progress, or identifying overdue tasks.

How It Works

Sorting Records

Sorting lets you reorder your list based on key fields, such as Created On, Last Updated, Next Follow-up, or Deal Value.

  1. Navigate to any list view (e.g., CRM → Leads or CRM → Deals).

  2. Click on the Sort button and select the field you want to sort by. eg. “Organization”, or “First Name”

  3. The list will re-order instantly, you can click on the Ascending/Descending button to toggle:

    • A ▼ downward arrow means it’s sorted in ascending order (A–Z, Oldest–Newest).

    • An ▲ upward arrow means the list is sorted in descending order (Z–A, Newest–Oldest).

  4. Click again to toggle between ascending and descending.

Filtering or Searching Records

Filtering allows you to view only the records that meet certain criteria.

Filters can be applied to any field — such as Organization, First Name, Lead Source, Assigned Salesperson, Status, or Territory.

  1. Click on the Filter button at the top of the list view.

  2. Click add filter and choose the field you want to filter by (e.g., Organization).

  3. Select a condition (like, equals, contains, starts with, etc.).

  4. Enter or pick a value (e.g., ABC Demo Company), and the list will be filtered

    Example: If you are searching for a company named “ABC Demo Company”

    1. Click on the Filter button at the top of the list view

    2. Click add filter and choose Organization.

    3. The condition like will already be preselected.

    4. Enter your search value between the % (eg. %demo%, all companies with “demo” in the name will be filtered)



You can add multiple filters using “AND” logic for more precise searches.

Use the Clear Filters button anytime to reset to the full list.

Quick Filters

You can set up handy Quick Filters for commonly used filters.


To set up quick filters:

  1. At the top-right corner, click on the More Options button, then click on Customize quick filters

  1. An Add Filter button will appear on the top left of the list. Click on that button to add more filters.

  2. You can remove quick filters by moving your mouse over the filter, an X will appear to the right of the filter name, click on the X to remove the filter.

  3. You can reorder filters by clicking and dragging the filter names left and right.

  4. Once you are done, remember to click the Save button on the top right to save the quick filters. Clicking the X on the top right will cancel the changes you made.

These shortcuts save time for everyday actions.

Best Practices & Notes

  • Combine sorting and filters to build powerful, focused views (e.g., “My Leads this Month” sorted by Last Activity Date).

  • Use Saved Views to preserve your favourite filter + column + sort setups

  • The filters you apply are personalized — they won’t affect what other team members see.

  • For company-wide views, admins can publish shared Saved Views.


FAQ

Q: Can I save a filter for future use?

Yes. After setting filters, click Save View to create a named Saved View you can reuse anytime.

Q: Can I apply filters across multiple fields?

Yes. You can add multiple filter conditions (e.g., Status = Converted AND Territory = Singapore).

Q: Do filters affect reports?

No. Filters in the list view only change your on-screen data display, not your reports or analytics.


Saved Views

The Saved Views feature allows you to save your preferred filters, columns, and sorting so that you can quickly return to them later.

This is useful if you frequently review specific segments of leads — for example, Leads from Singapore, High-Value Prospects, or My Active Leads.

You can create multiple saved views for different purposes and switch between them anytime without losing your filters.

To create a Saved View:

  1. Open the Leads page and apply your desired filters, sorting, or grouping options.

  2. Click the View dropdown in the top-right corner.

  3. Select Save View As.

  4. Enter a descriptive name for your view (for example, My Leads – Singapore or Follow-ups Due Today).

  5. Choose whether to make the view Private (visible only to you) or Public (shared with all users).

  6. Click Save.

Once saved, your custom view will appear in the View dropdown list.

You can:

  • Switch between different views anytime from the dropdown.

  • Edit or delete a saved view to update its settings.

  • Set a default view so it automatically loads whenever you open the Leads page.


Saved Views help you work faster by remembering your layout and filter preferences — making it easier to focus on the most relevant leads each day.

Pinned View

Pinned View is a handy feature that allows you to save frequently used views and access them quickly from the sidebar.

What are Pinned Views?

Pinned Views are essentially saved views that you've designated for easy access. This means you can create custom filters and configurations for your data, save them as views, and then pin them to the sidebar for instant retrieval.

How to Pin a View

  1. Navigate to the list view: Locate the list view from the sidebar (e.g., a list of leads, deals or contacts) you want to create a pinned view for.

  2. Create or Select a Saved View: If you haven't already, use the filters and options available to create a custom view of your data. You can then save this view for future reference. Alternatively, select an existing saved view that you use frequently from the drop-down in the list view header towards the left.

  3. Access the Pin Option: Click on the three-dot menu (...) associated with the saved view.

  4. Pin the View: From the menu that appears, select "Pin View."

Managing Pinned Views

Once you've pinned a view, it will be displayed in a dedicated "Pinned Views" section within the sidebar. You can access this view with a single click whenever needed.

Unpinning Views

To remove a view from the pinned section and revert it to a regular saved view, follow the same steps mentioned above. Access the three-dot menu for the pinned view and select "Unpin View."
