Deals

Deals represent qualified opportunities and include shipment or quotation details. When a new deal is created, a draft Quotation is created in Fr8labs FMS. However, only details that are mandatory to create a quotation are captured in Fr8labs CRM. 

The process of creating the full quotation should be continued in the main Fr8labs Freight Management System. 

Changes to the data made in Fr8labs FMS, will sync backwards to Fr8labs CRM once a day at 00:00 UTC (midnight UTC) every day, or 8 AM Singapore, Malaysia, Philippines time.

Creating a Deal

Deals are usually created by converting a lead to a deal, but you can also create a deal directly, without creating a lead, by navigating to Deals in the left-sidebar and clicking the Create button at the top right.

Choose whether to use an existing contact or organization. If not, provide New Contact Details and New Organization Details.

Select a Status such as Requirements Gathering and assign a Deal Owner.

Save the form. You will be taken to the deal’s detail page.

Deal Detail Tabs

The Activity timeline logs changes and comments related to the Deal.

The Data tab contains fields for deal information:

  • Deal Details: includes organization, lead name, deal owner, next step, email and quotation operator.

  • Quotation Type: choose Deal Type (New Customer or Existing), Shipment Type (Ocean/Air), Quotation Type (RFQ or Spot), Shipment Direction (Import/Export), Incoterms (EXW, FOB etc.) and Shipment Mode (FCL/LCL).

  • Quotation Details: specify origin, destination, pickup address and delivery address.

  • Deal Probability: used to estimate the chance of winning and expected close date.

Use the Comments, Tasks and Notes tabs to record information and actions; each shows a New button when there is no entry yet.

Deal Status

Deals move through the following statuses:

  • Requirements Gathering → Initial phase where customer needs are identified and clarified.

  • Requesting Quotation → The team prepares and requests partner rates or internal pricing.

  • Quotation Sent / Awaiting Response → The quotation has been shared with the customer; awaiting their feedback.

  • Revising Quotation → Used when the customer requests changes or updated terms. After revision, it loops back to “Quotation Sent.”

  • Won → Customer accepted the quotation and the deal proceeds to job creation.

  • Lost → Customer declined or did not proceed.

To update a stage, open the deal record and change the Status field in the top bar.

Deal Status can be customised to your own company processes.

Deal Views

The default view displays a list of Deals, showing details such as the Deal Name, Customer, Stage, Assigned Salesperson, and Estimated Revenue. You can switch between different layouts — List View, Kanban View, and Group By View — depending on how you want to visualise your sales pipeline.

To change the view, click the dropdown arrow next to List in the top-right corner of the page.

Kanban View

The Kanban View arranges deals by their current stage in your sales pipeline. Each column represents a step in the Deal flow (e.g. Prospecting, Quoted, Negotiation, Won, Lost).

You can:

  • Drag and drop deals between stages as they progress.

  • Click any card to open the full deal record.

  • Filter by fields such as Salesperson, Territory, or Deal Source to focus on specific segments.

  • Use the “+ New” button in any column to quickly add a new deal directly under that stage.

This visual layout helps sales teams instantly see how many deals are at each stage, identify potential bottlenecks, and prioritise follow-ups.

Group By View

The Group By View allows you to summarise and analyse your deals by key fields such as Salesperson, Customer, Stage, or Territory. This view is especially useful for managers who want to monitor sales performance, deal distribution, and team activity.

The system rearranges the list into collapsible sections — one for each unique value of the selected field.

For example:

  • Group by Salesperson → shows each sales rep with the deals they’re handling.

  • Group by Stage → shows how many deals are in Prospecting, Quoted, Negotiation, Won, or Lost stages.

  • Group by Customer → displays all active or historical deals by customer for account-level visibility.

You can expand or collapse each group, apply filters, or export data directly from this view. This makes it easier to monitor pipeline health, balance workloads, and identify which sales activities drive the most conversions.

Tips and Best Practices

  • Keep lead and deal information up‑to‑date; outdated details can lead to mistakes in quotations.

  • Use the Tasks tab to schedule follow‑ups so nothing falls through the cracks.

  • Track Probability and Stage to improve forecasting accuracy.

  • Always record a lost reason—it helps refine pricing strategies and service offerings.
