Email Groups

Overview

Email Groups allow you to organize your contacts into segments so that newsletters are sent to the appropriate recipients.

Segmentation helps ensure that your communications remain relevant and targeted. For example, you may want to send different messages to:

  • Customers

  • Vendors

  • Ocean freight customers

  • Air freight customers

  • Import clients

  • Export clients

  • Prospects from marketing campaigns


Instead of sending emails manually to each contact, Email Groups allow you to send newsletters to entire groups of contacts with one action.


How It Works

Email Groups act as recipient lists for newsletters.

  1. Contacts are added to an Email Group.

  2. When creating a Newsletter, you select the Email Group(s) as recipients.

  3. The system sends the email to all contacts within those groups.

A single contact can belong to multiple email groups, allowing flexible segmentation.

XYZ Trading

Customers, Air Freight

Global Shipping

Vendors

This allows you to target newsletters more precisely.


Creating an Email Group

Step-by-Step

  1. In Desk Mode, search for Email Group List

  2. Click New Email Group

  3. Fill in the required details:

Email Group Name

The name used to identify the group.

Examples:

  • Customers

  • Air Freight Customers

  • Ocean Freight Customers

  • Marketing Leads

  • Vendors

Description

(Optional) A short explanation of the group.

Example:

Customers that regularly ship ocean freight shipments.

  1. Save the Email Group.

Adding Contacts to Email Groups

Contacts can be added to Email Groups in multiple ways.

Method 1 — From the Contact Record

  1. Open the Contact

  2. Locate the Email Groups section

  3. Select the Email Group(s) to add the contact to

  4. Save the contact

  1. Open the Email Group

  2. Click Add Subscriber

  3. Select the contact email

  4. Save

Best Practices & Notes

Use Clear Segmentation

Organize contacts in ways that reflect your business activities.

Example segmentation for freight forwarders:

  • Import Customers

  • Export Customers

  • Ocean Freight Customers

  • Air Freight Customers

  • Vendors

  • Marketing Leads

This ensures newsletters are relevant to the recipients.


Avoid Sending Irrelevant Emails

Sending newsletters to the wrong group may result in:

  • Higher unsubscribe rates

  • Lower engagement

  • Emails being flagged as spam

Always double-check the selected Email Group before sending a newsletter.


Maintain Updated Email Groups

Regularly review your Email Groups to ensure:

  • Contacts are still relevant

  • Duplicate contacts are removed

  • Inactive contacts are cleaned up
