External Google Sheet API Integration

With Google Sheet integration, clients can import job and invoice data directly into the Fr8Labs platform. It is specifically designed for initial data migration, onboarding, or bulk job creation—particularly useful when transitioning from a legacy system.

Each template is custom-built per client, with backend logic and endpoints tailored to their specific requirements.


Use Case: Generic Job Uploader → Invoice Creation → Invoice Posting

Before

  • Manual job and invoice entry during onboarding or data migration

  • Transition from older systems required retyping large volumes of data

  • No ability to test invoice creation in bulk without affecting production data

After

  • Upload jobs and invoices in bulk via a pre-configured Google Sheet

  • System handles full flow: job creation → invoice generation → invoice posting

  • Fully customized per client scenario and structure

What Can Be Configured

This integration supports dynamic configuration via the sheet and script backend:

  • Input Columns: Customer, Job Type, PO/DO Number, Remarks, Quantity, etc.

  • Partner Mapping: Selected via dropdown with validation

  • Run Options:

    • Whether to auto-create invoices

    • Whether to auto-post invoices

    • Dry-run mode (for testing without committing data)

  • Output Feedback:

    • System writes back generated Job ID and Invoice Number into the sheet

  • Grouping Behavior:

    • Supports Single Job Single Invoice (1 row = 1 job)

    • Or Multiple Jobs Single Invoice (grouped per sheet/batch)


Implementation Considerations

  • Intended for onboarding and migration — for daily use, it’s best to use the Fr8Labs dashboard or API

  • Backend logic requires coordination to build, test, and deploy (e.g. endpoint wiring, token config, access control)

  • Separate environments are used (test vs. production), each with its own base URL and token, stored securely via script properties

  • Any changes to columns, validation logic, or mappings should be discussed with the Fr8Labs team


Important Notes

  • This tool is customized per client . Configurations for one client or sub-company may not be compatible with another

  • Do not test in production This may create unwanted dummy data in your accounting module

  • Only use this tool once the requirements have been finalized and logic has been validated

  • Contact your assigned support team if you:

    • Need to request changes to the sheet/template

    • Encounter sync or validation errors

    • Have added new COA or partner mappings


Security & Access

  • Sheet access is managed through Google Sheet permissions

  • Only authorized users from your company should run or edit the template
