Fr8Labs CRM vs Fr8Labs FMS

Fr8Labs separates the Customer Relationship Management (CRM) Module and the Freight Management System (FMS) because each serves very different teams, workflows, and purposes—while still being tightly connected.

1. Designed for Different Teams

  • CRM is built for sales and business development teams. It manages leads, deals, contacts, organisations, and sales activities—the full sales funnel before a shipment exists.

  • FMS is built for operations, finance, and customer service teams. It manages quotations in detail, as well as shipments, bookings, invoices, compliance documents, and financial reporting.

This separation ensures that each team works in an environment tailored to their needs, without unnecessary complexity.


2. Quotation Ownership and Workflow

  • In the CRM Module, deals culminate in the creation of a quotation. Only the minimum details needed for quoting are captured here.

  • The FMS continues from that point, where full operational details—routing, partners, charge codes, invoices, and compliance documents—are managed.

  • Usually, only the full details are required at the operational quote level, but all reporting, conversion metrics, and win/loss tracking remain in the CRM. The quotation status (won/lost) is always synced back to CRM so that sales teams can view and analyze their pipeline performance without leaving CRM.

This design avoids double-entry errors and ensures consistency across sales and operations.


3. User Access Control CRM was designed with fine-grained access rights in mind. Sales users usually only need access to their own leads, deals, and accounts—and in larger organisations, they may exclusively “live” inside CRM. By contrast, operations and finance users work inside FMS, where full shipment and accounting data is available.


4. Integrated but Modular

  • The two systems are fully integrated: When a new deal is created, a draft Quotation is created in Fr8labs FMS.

  • Changes to the data made in FMS, will sync backwards to Fr8labs CRM once a day at 00:00 UTC (midnight UTC) every day, or 8 AM Singapore, Malaysia, Philippines time.

  • Status updates (e.g., quotation won/lost) are synced back to CRM so that all sales metrics remain centralised.

  • To avoid confusion, CRM can also be accessed directly from the FMS (single sign-on), ensuring a unified user experience while keeping the modules distinct.

  • FMS = Operational execution (detailed quotations, shipments, invoices, finance). Separating them allows sales, operations, and finance to focus on their respective workflows, while still sharing data seamlessly across the system.
