Leads

The Leads page lists prospective customers before they become qualified opportunities. Columns include the lead’s name, organisation, status (e.g. New, Contacted, Qualified), email, mobile number and the user assigned to follow up. You can sort or filter the table to focus on specific territories or statuses.

Creating a Lead

Navigate to Leads in the sidebar and select Create.

If you’re not using an existing contact or organization, fill in the New Contact Details and New Organization Details sections:

  • Provide the person’s Salutation, First Name, Last Name and Job Title.

  • Enter at least one contact method, such as Email or Mobile No.

  • Specify Organization Name, Territory, Industry, Country and Annual Revenue if applicable.

  • Choose a Status such as New or Qualifying.

  • The Lead Owner defaults to the logged‑in user but can be reassigned.

Save the record. The lead will appear in the list view.

If you would like to automatically assign leads to Sales persons following a fixed set of assignment rules, let our Customer Success team know.

Lead Status

The typical status flow is as follows: New > Qualifying > Converted or Disqualified

  • New → A freshly added contact or opportunity.

  • Qualifying → The stage where sales assesses if the lead fits your target customer profile.

  • Converted → The lead is qualified and moved forward (e.g. becomes a Deal).

  • Disqualified → The lead doesn’t meet requirements (e.g. no need, not ready).

Lead Status can be customised to your own company processes. For example, the Status Flow can also include Contacted

Lead Detail Tabs

The Activity timeline logs changes and comments related to the Lead.

The Data tab contains fields for organization information (Industry, Website, Source, Annual Revenue, Lead Owner) and person information (Salutation, First Name, Last Name, Email, Mobile No, Job Title). Click any field to edit.

Use the Comments, Tasks and Notes tabs to record information and actions; each shows a New button when there is no entry yet.

Lead Views

Fr8Labs CRM provides multiple ways to view and manage your leads. By default, the List View displays all leads in a simple table with key details such as Lead Name, Organisation, Status, Email, Mobile Number, and Assigned Salesperson.

You can switch between views by clicking the dropdown arrow next to List in the top-right corner of the Leads page. Available views include Kanban View and Group By View, each designed to give you a different perspective on your pipeline.


Kanban View

Kanban arranges leads by their current status. Each column represents a stage in your lead flow (e.g. New, Qualifying, Converted, Disqualified).

You can:

  • Drag and drop leads between stages as they progress.

  • Click any card to open the lead’s full record.

  • Add filters (e.g., by Salesperson, Territory, or Lead Source) to focus on a specific segment.

  • Use the “+ New” button in any column to quickly add a lead directly under that status.

This visual layout helps sales teams see at a glance how many leads are in each stage, track bottlenecks, and prioritise follow-ups.

Group By View

The Group By View lets you summarise and analyse your leads by any field — such as Salesperson, Territory, Status, or Lead Source. This view is especially useful for managers who want a quick overview of workload distribution or sales performance across teams.

The system will rearrange the list into collapsible sections — one for each unique value of the selected field.

For example:

  • Group by Lead Owner → shows each salesperson with the leads they’re handling.

  • Group by Status → shows how many leads are New, Qualifying, Converted, or Disqualified.

  • Group by Territory → helps you spot which regions are generating the most leads.

You can expand or collapse each group, apply filters, or export data directly from this view. This makes it easier to review team activity, balance workloads, and identify areas needing follow-up or coaching.

Converting a Lead to a Deal

Once a lead is qualified, you convert it into a deal to track it through your sales pipeline.

  1. Open the lead’s record and review the details to ensure accuracy.

  2. Click Convert to Deal in the Data tab.

  3. In the conversion form:

    • Confirm or update the Company Name (this becomes the organization).

    • Assign a Deal Owner (normally the salesperson responsible).

    • Select the Deal Stage; typical stages include Contacted, Proposal Made, Negotiation, Won and Lost.

    • Enter Estimated Revenue if known.

    • Set a Probability of closing (often a percentage, e.g. 20%, 50%, 80%).

    • Define a Next Step (dropdown might include Call Scheduled, Email Follow‑up, Site Visit, Send Quotation).

  4. Save the record. The lead is now converted, creating a new deal and linking the original lead for historical reference.
