Lists as Custom Reports

Overview

In Fr8Labs, every document type (Invoices, Journal Entries, Payments, etc.) has a List View. These lists are not just for browsing – they can be customized into powerful reports by adding filters, grouping, and exporting.

This gives finance teams flexibility to create quick, ad-hoc reports without building formal accounting reports.

Customizing a List

Step 1: Apply Filters

  • Use the Filter Bar at the top of the list.

  • Example filters:

    • Sales Invoices → Status = Overdue, Customer = ABC Logistics.

    • Journal Entries → Entry Type = Bank, Date Range = This Month.

    • Payments → Mode of Payment = Bank Transfer, Status = Submitted.

Step 2: Add/Remove Columns

  • Click the Columns button.

  • Add or remove fields relevant to your report (e.g., Invoice Amount, Outstanding, Cost Center).

  • Rearrange columns by dragging.

Step 3: Save the View

  • Once you have applied filters and columns, click Save → Save View As.

  • Give your custom report a name (e.g., “Overdue Invoices by Customer”).

  • Saved views are reusable and appear in the left-hand sidebar.

Example Use Cases

  • Overdue Receivables Report – filter Sales Invoices by Status = Overdue, group by Customer.

  • Vendor Payments by Month – filter Purchase Invoices or Payment Entries by Posting Date.

  • Branch-Level P&L Drill-Down – filter Journal Entries by Cost Center.

  • Tax Filing Support – filter Invoices by Tax Type, export to Excel for VAT/GST reporting.

Exporting Custom Reports

  • Any customized list can be exported to Excel (XLSX) or CSV.

  • Use Export All for full data, or Export Filtered Data for only what’s shown.

  • These exports can be shared with auditors or used for offline analysis.

Key Points to Remember

  • Lists act like ad-hoc reporting tools – quick, flexible, and user-defined.

  • Saved Views are visible to the whole team (unless marked private).

  • For recurring statutory reports (P&L, Balance Sheet, Trial Balance), use the Reports module.

  • For operational monitoring (e.g., unpaid invoices), use Lists + Saved Views.
