Overview

The Newsletter feature in Fr8Labs CRM allows your company to send bulk email communications to your contacts directly from the system. This is useful for keeping your customers, prospects, and partners informed about important updates.

Typical use cases include:

  • Freight rate announcements (e.g. monthly ocean freight rate updates)

  • Marketing campaigns promoting new services

  • Public holiday notices (e.g. office closures during Chinese New Year)

  • Operational updates such as service changes, port congestion notices, or schedule changes

  • Company announcements or newsletters


By using the Newsletter feature, you can communicate with many contacts at once while maintaining a centralized record of your marketing communications inside the CRM.

To ensure messages are sent to the right audience, Contacts can be organised into Email Groups, allowing you to segment recipients according to your needs. Read more about Email Groups.

How It Works

A Newsletter is the email message that will be sent to one or more Email Groups.

The process typically follows these steps:

  1. Create the Newsletter

  2. Write the message content

  3. Select recipient Email Groups

  4. Preview the email

  5. Send the Newsletter

Step 1 — Create a New Newsletter

  1. Navigate to CRM → Newsletter

  2. Click New Newsletter

Step 2 — Enter Newsletter Details

Fill in the following fields.

Subject

The email subject line recipients will see.

Examples:

  • “Ocean Freight Rates Update – March 2026”

  • “Chinese New Year Office Closure Notice”

  • “New Direct Service from Singapore to Dubai”


Email Content

The main body of the email.

This can include:

  • Text announcements

  • Rate tables

  • Marketing messages

  • Operational notices

Example:

Dear Customers,

Please note that our office will be closed from 28 January to 30 January for the Lunar New Year holiday.

Operations will resume on 31 January.

Step 3 — Select Recipients

Choose the Email Group(s) that should receive the newsletter.

Step 4 — Preview the Email

Before sending, preview the newsletter to ensure:

  • Formatting looks correct

  • Subject line is accurate

  • Recipient groups are correct

Step 5 — Send the Newsletter

Click Send to distribute the email to all contacts in the selected Email Groups.

The system will send the newsletter to all recipients in the background.

Example 1 — Freight Rate Update

Subject:

Ocean Freight Rates – April 2026

Recipients:

Ocean Freight Customers

Content:

Updated rates for Singapore → Shanghai and Singapore → Los Angeles.


Example 2 — Public Holiday Notice

Subject:

Hari Raya Office Closure Notice

Recipients:

Customers, Vendors

Content:

Our office will be closed from 10 April to 11 April.

Subject:

New Air Freight Consolidation Service

Best Practices & Notes

Keep Emails Clear and Professional

Business communications should be concise and clear. Avoid overly long emails.

Use Clear Subject Lines

A good subject line improves open rates.

Examples:

Good:

  • Office Closure Notice – National Day

Bad:

  • Important Update

  • Please Read


Test Before Sending

If possible, send a test email internally before sending to customers.


Avoid Over-Sending

Sending too many newsletters may cause recipients to ignore future messages.

Recommended frequency:

  • Monthly newsletters

  • Operational alerts when necessary

  • Rate updates when relevant


FAQ

Can a contact belong to multiple Email Groups?

Yes. A contact can be included in multiple groups.

Can I send a newsletter to multiple Email Groups?

Yes. You can select multiple Email Groups when creating a Newsletter.


Can I edit a newsletter after sending?

No. Once a newsletter has been sent, it cannot be modified.

You will need to create a new newsletter if corrections are required.


Will contacts automatically receive newsletters?

No. Contacts will only receive newsletters if they are included in the selected Email Group.
