The Notes and Tasks features provide tools to capture internal information and assign follow‑up actions related to leads, deals, organisations, shipments or other records. Using these functions helps your team stay organised, share knowledge and ensure that important activities are completed on time.

Purpose

Notes function like a digital notepad. They allow you to store free‑form text about meetings, client preferences, negotiation outcomes, or any other information that doesn’t fit into structured fields. Notes are internal; customers do not see them.

Access and Creation

  • Where to find: The Notes module is available from the left navigation panel. You can also access notes within the detail page of leads, deals, contacts, organisations or shipments (often under a Notes tab).

  • Creating a note from the Notes module:

    1. Click Create.

    2. Fill in the Note Title (e.g. “Meeting with ABC Logistics on March 5”).

    3. Select the Note Type: General, Meeting Note, Call Note, Internal Memo, etc.

    4. Enter the Content in the main text box.

    5. Link the note to a record using the Related To field; choose from Lead, Deal, Organisation, Contact, Shipment, Quotation, etc., and select the specific record.

    6. Assign an Owner if different from yourself.

    7. Click Save.

Managing Notes

  • Notes appear as cards on the main Notes page and in the Notes tab of any linked record.

  • You can edit or delete a note by opening it and clicking the appropriate button.

  • Use filters to view notes by type, owner or related record.

  • Use notes to document critical details that help colleagues understand context without searching through emails.

Tasks

Purpose

Tasks are actionable items used to assign and track work. They ensure that follow‑ups and deadlines are clearly defined and visible to the responsible team member.

Access and Creation

  • Where to find: Select Tasks in the left navigation panel, or access tasks from within any record (usually under a Tasks tab).

  • Creating a task from the Tasks module:

    1. Click Create Task.

    2. Enter the Subject (short description), for example “Send quotation to ABC Logistics”.

    3. Choose the Task Type: Call, Email, Meeting, Follow‑up, Document Review, Reminder, Other.

    4. Select the Priority: Low, Medium, High, Urgent.

    5. Set a Due Date (calendar picker).

    6. Assign the task to yourself or another user via the Assignee field.

    7. Link the task to a record using Related To; options include Lead, Deal, Organisation, Contact, Shipment, Invoice, etc.

    8. Add Description/Notes with additional details or instructions.

    9. Click Save.

Managing Tasks

  • Tasks are listed on the Tasks page with columns for Subject, Related To, Priority, Due Date, Status and Assignee.

  • Statuses typically include: Not Started, In Progress, Waiting on Someone Else, Completed, Deferred. Update status as work progresses.

  • Use filters to view tasks by status, due date range, owner or related record.

  • Tasks can be created from within a lead, deal or other record by navigating to the Tasks tab and selecting Add Task; the related record will be linked automatically.

  • When the task is completed, mark it as Completed and enter any relevant comments in the notes field.

Common User Questions and Answers

  • Why should I use Notes instead of sending an email? Notes are ideal for storing information that should be kept within the CRM for quick reference and shared knowledge, whereas emails might get lost in individual inboxes.

  • Can I attach files to a note or task? Notes typically support attachments; use the Attachments section to upload documents (such as signed meeting minutes, proposals or reference images). Tasks are generally text‑only but may include links; if you need to attach a file, upload it in the related record’s Attachments area and reference it in the task description.

  • What happens when a task is overdue? Overdue tasks are highlighted on the Tasks list (often with a red or bold date) and may trigger notifications or reminders depending on your system’s configuration. Review and update overdue tasks promptly.

  • Can I reassign tasks? Yes. Edit the task and change the Assignee. The new owner will be notified and the task will appear on their task list.

Keeping detailed notes and organised tasks ensures continuity across your team, improves follow‑up consistency and provides a clear audit trail of all interactions and actions taken within the Fr8Labs platform.
