Organisations

Organisations represent customer companies, agents, partners or vendors in the Fr8Labs CRM. Each organisation record stores key details about a business entity and serves as a hub for all related contacts, deals, quotations and shipments. Accurately maintaining organisation data ensures that everyone in your team has a single source of truth when interacting with customers.

Organisation List

The organisation list displays each organisation’s key attributes:

  • Organisation Code – unique identifier (often auto‑generated by your company’s naming convention).

  • Fr8Labs Partner ID – internal ID for integration or reporting purposes.

  • Organisation Name – the business name as it should appear on documents.

  • Website – URL of the organisation’s website.

  • Industry – industry sector. Common selections include Logistics, Manufacturing, Retail, Consumer Goods, Technology, Healthcare, Automotive, Energy, Agriculture, Media, Hospitality, Construction, Professional Services and Other.

  • Annual Revenue – estimated yearly revenue (enter as a currency value).

  • Last Modified – date and time the record was last updated.

  • Owner – user responsible for managing the organisation.

You can customise which columns are shown, sort by any column and apply filters (e.g. territory, industry, revenue range) using the Filter and Columns buttons.

Creating a New Organisation

To add a new organisation:

  1. Click the Create button on the organisation list page.

  2. Fill in the required fields:

    • Organisation Name (mandatory).

    • Website (optional).

    • Territory – choose from defined sales territories (for example: Singapore, Malaysia, Indonesia, China, USA, Europe, etc.).

    • Industry – select from the industry dropdown as listed above.

    • Number of Employees – enter the approximate headcount.

    • Annual Revenue – provide an estimate.

    • Address – street, city, postal code and country. The Country dropdown lists standard ISO country names.

    • Phone Number and Email if you communicate with a central office.

    • Organisation Owner – assign the person responsible for this account.

  3. Click Save to create the record. The organisation will now appear in the list.

You can also import multiple organisations using a spreadsheet template provided in the import tool (found in the top right menu under Import).

Viewing and Editing an Organisation

Click an organisation’s name to open its detail page. Here you can view or edit:

  • General Information – update website, industry, revenue or address details.

  • Contacts Tab – lists all people associated with the organisation. From here you can create new contacts or link existing contacts.

  • Deals Tab – shows deals linked to the organisation. You can add a new deal directly from this tab.

  • Activity Feed – logs changes and comments related to the organisation.

  • Notes – store internal notes about the organisation (e.g. meeting summaries).

  • Attachments – upload relevant documents such as contracts, pricing agreements or communication logs.

Remember to keep the organisation’s details up‑to‑date; this ensures correct information appears on quotations, invoices and shipment documents.

Organisation Search

Some companies will choose to hide the full list from Sales Users, only Sales Managers are able to see the full list of Organisations. As such the Organisation Search tool allows all users to search for organisations by name, the search results will show the Organisation Name, Organisation ID, and Organisation Owner. This will allow sales users to know if an Organisation is a new prospect, or if another user has already been assigned as the Organisation Owner.

Common User Questions and Answers

How do I link a new contact to an organisation? Navigate to the organisation’s detail page, select the Contacts tab and click Create Contact. Fill in the contact’s details and save. The contact is automatically linked to the organisation.

Can I assign multiple salespeople to one organisation? An organisation typically has one owner for accountability, but you can tag other users in notes, tasks or assign them to specific deals under that organisation.

What happens if my customer has multiple divisions? Create separate organisation records for each division if they have distinct billing addresses or contacts, and use the naming convention (e.g. “ABC Corp – Logistics Division”) to differentiate them. You can link them using a parent/child field if available in your configuration.

How do I deactivate an organisation? Change the organisation’s status to Inactive or mark it as Do Not Contact in a custom field, depending on your company’s setup. This prevents it from appearing in active lists but retains historical data.
