Partner Rates

The Partner Rates feature lets you pre-prepare charge templates for use in Quotations. Instead of repeatedly keying in the same set of billing items, you can save them once under Partner Rates and then load them directly into a quotation.

This ensures consistency, saves time, and reduces manual errors when preparing quotations for customers.

Partner Rates are available only inside the Quotation workflow.

  • Navigate to Freight Management System → Partner Rates in the left sidebar.

  • Use the search and filter tools to find existing rates by:

    • Partner (carrier, co-loader, vendor)

    • Mode (Air / Ocean / Trucking / Generic)

    • Lane (Origin → Destination)

    • Effective Dates (validity period)


Creating a New Partner Rate

  1. Navigate to Freight Management System → Partner Rates in the left sidebar.

  2. Click + New Partner Rate.

  3. Fill in the required fields:

Basic Information

  • Direction (drop-down)

  • Shipment Type (drop-down)

  • Shipment Mode (drop-down)

  • Partner (drop-down) Select the carrier, co-loader, or vendor.

  • Origin Port / Location (drop-down)

  • Destination Port / Location (drop-down)

  • Validity Date

Charge Details

Here you set up the charge lines that will be saved in the Partner Rate template.

  • Charge Code – pick from Charge Codes master data (e.g., Air Freight, Handling, Admin).

  • Charge Description – auto-fills from the charge code but can be adjusted.

  • Container Type – if applicable (e.g., 20’GP, 40’HC, or Air/Trucking category).

  • Qty / UoM – quantity and unit of measure.

  • Minimum – minimum charge if the calculated amount is lower.

  • Unit Price – rate for the charge.

  • Currency – e.g., SGD, USD, MYR.

  • Tax – select the tax code if applicable.

  • Amount – system-calculated total based on Qty × Unit Price.

You can add multiple rows to capture different charges (e.g., Air Freight + FSC + Admin Fee).

Using the Partner Rates in Quotations

  • When creating a new Quotation, after selecting the origin and destination, you will be able to Add Partner Rates in the Tariff section of the Quote to Customer tab.

  • The system will pull in the charges you pre-saved for the selected partner, mode, lane, and validity period.

  • You can still adjust the unit price or add/remove charges manually as needed.

Benefits of Partner Rates

  • Time Saving: Quickly load pre-prepared charges instead of retyping.

  • Consistency: Ensure the same charge structure is applied across quotations.

  • Reduced Errors: Avoid mistakes in manual keying of rates.

  • Flexibility: Edit charges after loading if actual rates differ.


Tips & Best Practices

  • Name templates clearly (e.g., “EK SIN→LHR Buy Rate 2025Q1”).

  • Keep buy and sell templates separate if you manage margins differently.

  • Review templates regularly to ensure expiry dates are up-to-date.

  • Store common surcharges inside the template so quotations are complete when loaded.
