Rate Management

Overview

The Rate Management module in Fr8Labs allows freight forwarders to centralise, organise, and maintain buy rates and sell rates across different shipment modes, trade lanes, carriers, vendors, and customers.

Instead of storing rates in spreadsheets or searching through emails and chat messages, Rate Management provides a structured, searchable database of Rate Sets that can be reused directly during quotation creation, job estimation, and invoicing.

This module is especially useful for:

  • Maintaining carrier and vendor buy rates

  • Managing customer-specific sell rates

  • Standardising pricing across teams

  • Speeding up quotation turnaround times

  • Reducing pricing errors

  • Supporting automated quotation generation workflows

Rate Management works closely with Quotations, Shipment Jobs, Invoices, and Charge Codes.

Accessing Rate Management

  1. Navigate to Rate Management in the left sidebar.

  2. Select Rate Management List.



Rate Management List

The Rate Management List displays the Rate Sets available to your access level, along with their key details. You can search, filter, and sort by any field to quickly locate a specific Rate Set.

To create a new Rate Set, click + New Rate Management in the top-right corner.

To view or edit an existing Rate Set, click its title in the list.


If no Rate Sets have been created yet, the page will display an empty state.



Rate Set Structure

Each Rate Set consists of Header Information, one or more Pricing Groups, and the Charge Items within each group.

Pricing Groups

Charge items can be organised into Pricing Groups to separate pricing sections clearly. Examples include:

  • Freight Charge

  • Warehouse Charge


Charge Items

Charge Item is a pricing component inside a Pricing Group. Each pricing group can contain multiple charge Items with different charge basis, pricing type, and rate configuration. This allows users to configure flexible pricing structures within a single Rate Set.

Fixed Pricing uses a single fixed rate value. Users can directly input the price into the Unit Price column (see in the table row 1)


Strata Pricing is used when pricing depends on specific conditions, ranges, or equipment types. For strata pricing, the Unit Price column will display as TIER (read-only). Pricing configuration must be set inside Pricing Details (expandable row). Strata can be configured based on equipment or container type, as in the image below:


Strata can also be configured based on quantity or measurement range. Where the user just input range (from - to) to set the unit price.




Managing Rate Sets

Add a Rate Set

  1. From the Rate Management List, click + New Rate Management.


  1. You will be redirected to the rate creation page.


  1. Fill in the mandatory header fields: Rate Title, Shipment Type, Direction, and Shipment Mode.


  1. Optionally fill in Origin, Destination, Rate Type, Vendor, Customer, Valid Until, and Tags. Set up the Charge Items in the relevant Pricing Group(s).


  2. Click Save.

Edit a Rate Set

  1. From the Rate Management List, click the rate title you want to edit.


  1. Update the relevant fields — for example, the rate title, charge items, valid until date, or strata pricing details.


  2. Click Save.

Delete a Rate Set

  1. From the Rate Management List, click the rate title you want to delete.

  2. Click the ⋯ (three-dot) button in the top-right corner.


  1. Select Delete.

  2. Confirm deletion in the dialog that appears.


A Rate Set cannot be deleted if it is currently linked to a quotation or job.


Set Rate Status

  1. From the Rate Management List, click the rate title.

  2. In the top-right section, click Status.


  1. Select Active or Inactive.

  2. Confirm the change in the dialog that appears, then click Save.


Setting a Rate Set to Inactive hides it from rate selection in quotations and jobs. You cannot set a Rate Set to Inactive if it is currently linked to a quotation or job.


Rate ownership and visibility

The optional Operator field on a Rate Details form assigns responsibility for the rate. The list also provides Created By and Operator columns.

If an expected rate is missing, ask your administrator to check your assigned access level.
