Credit Terms by Transaction Type

Fr8Labs allows you to configure different credit terms for the same partner depending on the transaction type (Import vs Export). This means a single partner can have one set of payment terms on Import shipments and completely different terms on Export shipments — the system applies the correct rule automatically at invoice creation time.

The walkthrough below demonstrates per-direction credit terms on partner DEMO-0446 (EOM QA). It starts on the partner record where both rules are visible — Export at 3 Months EOM and Import at 5 Months EOM — then creates an AR Sales Invoice from Import shipment SI-2604-010 (Due Date auto-set to 31/10/2026) and a second from Export shipment SE-2604-027 (Due Date auto-set to 31/08/2026), making the two-month difference immediately clear. The Change Terms link is visible on both invoices for review or override.

How It Works

Partner Master → Credit Terms Section

On any partner record (Master Data → Partners → select a partner), scroll down to the Credit Terms section. Each credit term rule specifies:

Click + Rule to add a new credit term rule. You can have multiple rules on the same partner — each one matches a different combination of conditions.

Each rule header summarises the combination at a glance — for example, "3 Months EOM (End of Next Month) for Sales Invoice • Default on ALL Export" tells you exactly when this rule applies.

Note: You can also configure simpler term types like COD (cash on delivery, 0 days) or Days after Invoice Date (e.g. Net 30). The system supports any combination of these across different directions and shipment types.

Invoice-Level Inheritance

When you create an AR sales invoice from a shipment's Accounting tab (via + New Invoice → Create Invoice (AR) → Sales Invoice (AR)), the system looks up the partner's credit term rules and matches on:

  1. The invoice type (Sales Invoice, Vendor Invoice, etc.)

  2. The invoice sub-type (Default, Debit Note, Credit Note)

  3. The shipment type (Ocean, Air)

  4. The shipment direction (Import or Export)

The matching rule determines the invoice's Due Date calculation:

  • Import shipment → partner's Import credit rule applies (e.g. 5 Months EOM = due date is end of 5th month after invoice date)

  • Export shipment → partner's Export credit rule applies (e.g. 3 Months EOM = due date is end of 3rd month after invoice date)

You can see the applied terms on the invoice creation page in the Due Date field. The Change Terms link next to the due date lets you view or override the inherited terms if needed.

Note: If no direction-specific rule matches, the system falls back to any rule with Direction = ALL. If multiple rules could match, the most specific rule (matching both invoice type and direction) takes priority.

EOM Days

EOM Days calculates the due date as a specified number of days after the end of the invoice month. Select EOM Days when creating or editing a credit term, then enter the required number of days. This differs from the month-based EOM terms in the examples above: the offset is in days, not whole months.
