System Linked & Generated Email Notifications

📌 Before vs. After

Before

  • Teams relied on manual updates or check manually into systems.

  • New jobs, partners, or shipment milestones could be missed if someone forgot to forward.

  • Customers often needed status updates sent individually, which ate up team time.

Now (with Fr8Labs automation)

  • The system automatically sends email notifications triggered by key events.

  • Notifications can be sent internally (to your team) or externally (to customers).

  • Messages are standardized, include links back to Fr8Labs, and can run on schedules or in real-time.

✅ Benefits

  • Visibility – no more relying on memory; teams get alerts automatically.

  • Speed – customers and colleagues receive updates immediately.

  • Consistency – standardized subject lines and email bodies ensure clarity.

  • Audit trail – notifications can be logged (e.g. into a Google Sheet) for compliance and review

⚙️ Example Use Cases

  1. Internal Notifications

    • New Partner created (pending approval).

    • New Job created (with shipment details).

    • Daily summary of jobs arriving soon.

  2. External Notifications

    • Daily or weekly shipment status reports for customers.

    • Live tracking updates when:

      • Shipments exceed a threshold (e.g., delay > 24h).

      • A milestone is reached (e.g., departure, arrival, customs cleared).

💡 Implementation Considerations

  • Start internally – test with your own team before enabling external notifications.

  • Customize carefully – tailor subject lines and bodies so recipients know exactly what the alert is about.

  • Use role-based emails – send to ops@company.com instead of individuals where possible.

  • Balance frequency – daily or weekly for summaries, real-time only for critical events.

  • Log notifications – use Google Sheets or internal audit logs to track what was sent.

🚧 Important Note

At the moment, these workflows are set up by the Fr8Labs team in our backend config (using automation flows linked to your data).

  • Self-service notification management is planned for future releases, where super admins will be able to configure triggers and recipients directly in the platform.
